Where a capability matters, we state the question to ask any vendor — including us — and how to verify the answer in minutes rather than trusting a checkbox.

Context: what kind of system is each?

ClientTrack (an Eccovia product) is widely used as a case-management platform, with a strong footprint in HMIS and human-services case management. ClientCentric is a care-operations platform for home and community-based care providers: its center of gravity is the daily operation — assignments, scheduled visits, clock events, documentation lifecycles, timesheets, and audit history — rather than case-management reporting alone. If your work is primarily HMIS-style case management, a case-management platform may genuinely fit better. If your day is staff serving assigned clients in homes and communities, that operational loop is exactly what ClientCentric was built from.

Eight questions to ask any vendor — and our answers

  • Does record access follow the staff-client assignment automatically? — In ClientCentric, yes: the assignment is the access; ending it ends access immediately. Verify in the demo by assigning, switching roles, and watching.
  • Can a locked note be edited afterward? — Here, never: corrections are addenda preserving the original. Ask any vendor to show you what an edited note looks like a year later.
  • Do non-EVV services look like failures? — Here they read 'not applicable', and compliance math excludes them. Ask to see a service that doesn't require verification.
  • Where do the hours on a timesheet come from? — Here the clock-out writes the time entry. Ask whether hours are ever typed twice.
  • Is the audit history append-only? — Here, yes, including exports as audited events. Ask what the log cannot do.
  • How does your data move in? — Here migration is product: a confidence report where every record is accounted for, your written approval, and a rollback window. Ask any vendor who exactly performs the migration and what proof you receive.
  • What happens when you ask for a change? — Here the Change desk is part of the product, with human-approved plans and visible progress. Ask how requests are handled after go-live.
  • What is honestly NOT connected? — Here, aggregator transmission is configured per deployment and never described as connected before it is verified for your agency. Ask every vendor this question and watch how they answer.

Where the other choice may be right

Choose a case-management-first platform when your reporting obligations are the product — HMIS participation, grant-driven case reporting across many programs — and your direct-care operations are a small share of the work. Choose ClientCentric when the operational loop is the work, and the reporting has to fall out of it truthfully.
