Friday’s question, answered before Friday.

What do I owe everyone this week? In most agencies the answer is an evening with a spreadsheet, retyping hours that already exist somewhere else. ClientCentric computes it from the hours the visits themselves wrote — and hands the finished period to your payroll system.

What payroll-ready hours means: every clock-in and clock-out a visit records becomes a time entry; the period totals per person, splits overtime at 40 hours a week at time-and-a-half, flags entries that still need review, and prices the period at each staff member’s rate. The result exports into the payroll system you already run — Gusto, QuickBooks, ADP — which handles taxes, deposits, and filings. Hours are entered once, at the door of the visit, and never retyped.

What the calculation catches before payroll does

  • Overtime that crept in mid-week — visible while there is still time to adjust the schedule, not on the pay stub.
  • Entries with exceptions — a missed clock-out, an auto-closed visit — held up by name, so payroll never runs on a guess.
  • A staff member without an hourly rate on file, flagged before the total pretends to be complete.
  • The gap between hours scheduled and hours actually worked, per person, in one table.

The same hours, end to end. The entry a visit wrote is the entry the timesheet totals is the entry the payroll export carries — one record, never retyped.

Deliberately not a payroll company

ClientCentric calculates and exports; it does not move money, file taxes, or hold deposits. That is a choice. Your payroll provider is good at withholding and compliance across every jurisdiction — the part agencies actually struggle with is upstream: getting clean, verified, exception-free hours into it without a night of retyping. That upstream part is ours. The export lands in the audit history like every other consequential action, so a wage dispute two years from now reads back to the exact visits behind the check.
